AI Data Services: Get Your Data Ready for RAG, LLMs and Machine Learning

We prepare, structure, label, and pipeline your data so chatbots, AI agents, fine-tuned models, and ML systems have accurate, current data to work with.

Most AI projects don't stall because of the model. They stall because of the data. The chatbot gives wrong answers because the documents it searches are outdated, duplicated, or badly split. The fine-tuned model underperforms because the training examples are inconsistent. The forecasting model looks great in testing and fails in production because the live data looks nothing like the training data.

The good news: these are solvable engineering problems. Our AI data services prepare, structure, label, and pipeline your data so AI systems — RAG chatbots, AI agents, fine-tuned LLMs, and machine learning models — have accurate, current, well-organized data to work with, both at launch and as your data keeps changing.

What are AI data services? AI data services prepare an organization's data so AI systems can use it reliably. They include data collection, cleaning, labeling, document parsing and chunking, embedding and vector database setup for RAG, fine-tuning and evaluation datasets for LLMs, feature pipelines for machine learning, and governance controls such as PII removal and access rules. The goal is AI-ready data: accurate, structured, current, and safe to use.

Why AI Projects Fail on Data

  • Garbage in, confident garbage out. LLMs answer fluently even when the underlying content is wrong or outdated.

  • Documents aren't AI-ready. PDFs with tables, scanned pages, headers, and footers get parsed into noise.

  • Poor chunking. Splitting documents in the wrong places separates questions from their answers.

  • No metadata. Without dates, owners, and access labels, the AI can't filter by relevance or permission.

  • Stale data. A knowledge base loaded once and never refreshed slowly becomes wrong.

  • No evaluation set. Without a trusted set of test questions, nobody can measure whether changes make the AI better or worse.

  • Sensitive data leaks. Personal or confidential data ends up in prompts, logs, or training sets.

Our AI Data Services

AI data readiness review

We review your data sources, quality, structure, and governance against the AI use case you have in mind, and give you a prioritized plan. Start with a data readiness assessment.

Data collection and sourcing

We gather the data your AI needs from internal systems, document stores, APIs, and public sources through web scraping, with permission and compliance checks.

Data cleaning and preparation for AI

We remove duplicates, fix formatting, standardize fields, handle missing values, and remove boilerplate, so models learn from and retrieve clean content.

RAG data pipelines

We build the pipeline behind retrieval-augmented generation: document ingestion, parsing (including tables and scanned pages), cleaning, chunking, metadata tagging, embedding, loading into a vector database, and scheduled sync so the knowledge base stays current. This is the data layer of our RAG development services.

Vector database setup

We choose and configure the right vector store for your scale and stack — pgvector, Pinecone, Weaviate, Qdrant, Milvus, or OpenSearch — including indexing, hybrid keyword-plus-vector search, metadata filters, and access control.

Labeled training data

We label text, images, video, audio, and documents for classification, extraction, and computer vision models through our data labeling services.

Fine-tuning datasets

We build instruction-response pairs, conversation datasets, and preference data for fine-tuning LLMs — deduplicated, consistently formatted, and checked for quality and sensitive information.

Evaluation datasets

We create golden question-and-answer sets and scoring rubrics so you can measure RAG and LLM accuracy, catch regressions, and compare models objectively.

Feature pipelines for machine learning

We build pipelines that turn raw operational data into model-ready features, consistently in training and in production, and connect them to ML deployment.

Data governance for AI

We detect and remove or mask personal and sensitive data, apply document-level access rules, and track where data came from, so AI systems only see what each user is allowed to see.

How a RAG Data Pipeline Works

  1. Ingest documents from file shares, SharePoint, Google Drive, Confluence, websites, databases, or ticketing tools.

  2. Parse each file into clean text, keeping tables, headings, and structure; apply OCR to scanned pages.

  3. Clean boilerplate such as headers, footers, and navigation, and remove duplicates and outdated versions.

  4. Chunk content into retrievable sections that keep related information together.

  5. Enrich each chunk with metadata: source, title, date, section, owner, and access permissions.

  6. Embed chunks with an embedding model suited to your language and domain.

  7. Index them in a vector database with hybrid search and metadata filters.

  8. Sync on a schedule or on change, so new, updated, and deleted documents are reflected automatically.

  9. Evaluate retrieval quality against a test question set and tune chunking and search settings.

How It Works

Step 1: Define the AI use case

We agree what the AI system should do, who will use it, and how success will be measured.

Step 2: Review the data

We inventory sources, sample the data, and identify quality, structure, and governance gaps.

Step 3: Design the data pipeline

We choose parsing, chunking, labeling, storage, and refresh approaches that fit the use case.

Step 4: Build and evaluate

We build the pipeline or dataset and test it against an evaluation set, tuning until results meet the agreed standard.

Step 5: Productionize

We add scheduling, monitoring, alerts, and access controls, and connect the data layer to your AI application.

Step 6: Hand over or operate

You receive documentation and training, or we continue running and improving the data layer for you.

Why Work With Codersarts

We build AI systems end to end — AI development, RAG, AI agents, and LLM applications — so our data work is designed around how the model will actually use it. We measure quality with evaluation sets rather than opinions, build governance in from the start, and leave you with pipelines and datasets you own.

Frequently Asked Questions

What does AI-ready data mean?

AI-ready data is accurate, deduplicated, consistently structured, enriched with useful metadata, current, and governed so only permitted data is used. For RAG, it also means documents are parsed and chunked so the right passage can be found for each question.

What's the difference between RAG data and fine-tuning data?

RAG data is your knowledge — documents and records the AI searches at question time, so it can be updated any time. Fine-tuning data is a set of examples that teaches a model a style, format, or task permanently. Most business knowledge use cases start with RAG; fine-tuning is added when behavior, not knowledge, needs to change.

Can you work with scanned PDFs, tables, and messy documents?

Yes. We use OCR for scanned pages and layout-aware parsing for tables and multi-column documents, and we test parsing quality on samples of your real files before processing everything.

Which vector database should we use?

If you already run PostgreSQL, pgvector is often the simplest choice. Managed services like Pinecone suit teams that want no infrastructure. Weaviate, Qdrant, and Milvus suit larger or self-hosted deployments. We recommend based on scale, hosting rules, filtering needs, and cost.

How do you keep a RAG knowledge base up to date?

We schedule or trigger syncs from each source, so new and changed documents are re-processed and deleted ones are removed. Monitoring flags failed syncs so the knowledge base never silently goes stale.

How do you protect sensitive data in AI systems?

We detect and remove or mask personal and confidential data before it reaches embeddings or training sets, apply document-level permissions in retrieval, and keep data inside your cloud environment when required.

How do you measure whether the AI data is good enough?

We build an evaluation set of real questions with correct answers, then measure retrieval and answer accuracy. Every change to chunking, embeddings, or data is tested against it.

How long does an AI data project take?

A focused RAG data pipeline proof of concept on a defined document set typically takes a couple of weeks. Production pipelines across many sources, with governance and monitoring, are delivered in phases over several weeks.

How much do AI data services cost?

A readiness review is a fixed-scope engagement. Pipeline builds and datasets are priced on the number of sources, data volume, labeling effort, and governance needs, and quoted after the review or a scoping call.
